In regards to this role, our mission (more specifically) is to simplify the process of organizing unforgettable team offsites by connecting companies with hotels, venues, and vendors seamlessly, taking away much of the back-and-forth and ensuring our clients receive the best rates and concessions possible while being mindful of our vendor partnerships.

Offsite is looking for a Proposal Coordinator who will:

• Create detailed sample agendas, budgets, and proposals that capture the vision of a successful offsite.
• Conduct live demos with users exploring Offsite.com to showcase the platform’s capabilities.
• Assist users in filtering through hotel and vendor options, and facilitate booking requests.
• Support other teams in the hotel sourcing, negotiation, and selection.
• Draft and present offsite proposals for a variety of global destinations.
• Negotiate pricing and terms with hotels and other vendors to secure the best deals for our clients.
• Guide hotels and vendors through onboarding and ensure they are actively utilizing their Offsite accounts.
• Monitor and respond promptly to other vendor booking inquiries via the live chat feature on the website and/or other team members.
• Maintain accurate records and updates in HubSpot, product management tools such as Notion, and other collaboration tools systems.

IMPORTANT - this is currently a contractor role, with an expected 3-6 month contract. We plan to provide full-time hours, at the equivalent of a $70,000 to $80,000 salary, based on experience.
